Getting started
How much time does it take?
About twenty minutes a day to set each tool up — one sitting a day, and it ends when the tool is live. Altogether it is about twenty-six sittings spread across a hundred days, less than one every three days. Running the tools afterwards is mostly seconds per patient, folded into what your team already does.
Do I have to do it myself?
No. Pick one person to own the hundred days — your office manager, a front desk team member, your assistant, or you. The step-by-step videos are the training: if you can follow a short instructional video, you can put this in place. No background in business analytics or marketing is needed.
Do I need to use all seven tools?
No. Each tool works on its own, and after the free hundred days you subscribe only to the ones that earned their place. The protocol walks you through them in a recommended order; the only fixed rule is that Stripe (Step 4) comes before Payment Flexer and Club Creator, which both need it.
Is there a contract?
No. The first hundred days are free with no credit card and nothing to cancel. After that, each tool is a month-to-month subscription you can cancel at any time — no long-term contracts.
What do I need to have ready?
A single-location practice in the United States and one owner login. Along the way: a Stripe account (connected in Step 4), your practice's Facebook and Instagram pages, your Google review link, and — when you reach Step 7 — the fee schedules for the insurance plans you take.
Is my practice a fit?
The protocol is built for solo dental practice owners in the United States. After the walkthrough video you can answer a short set of yes-or-no questions and get a score — an honest, three-minute read on how well positioned your practice is to see results in the first hundred days.

Time and your team
Will this add work for my front desk?
Very little. Sending a survey happens while checking a patient out and adds about ten seconds; a payment plan is set up only when cost is the obstacle; member pricing applies only to members. The one real exception is Stock Sentry's weekly supply count — about fifteen to twenty minutes, once a week.
Do we need training?
No. Every step has short videos that show the setup click by click on the real screen, and each one names the single change to your routine. There is nothing to learn before you begin.
How soon do results show up?
It varies by tool. Patient Pipeline can send surveys the same afternoon, and referral requests go out automatically to your highest-scoring patients from then on. Case Closer starts converting unscheduled treatment within weeks. PPO Inspector shows you your insurance picture as soon as your fee schedules are in, but acting on it — renegotiating or leaving a plan — plays out over months. Your dashboard shows each tool's dollar impact against your own baseline numbers, so you are never guessing.

The tools
Will PPO Inspector make me drop insurance plans?
No. It shows you what each plan actually pays you, ranks the plans by profitability, and runs what-if scenarios for going out of network — so a decision to renegotiate or drop a plan is made with numbers, not nerves. The decision stays yours, and nothing changes in your contracts unless you change it.
Does Content Caddy post as me?
It posts to your own Facebook and Instagram pages, under your practice's name, from a library of more than five hundred educational dental posts — one a day, published for you once you connect your accounts.
How does Case Closer follow up with patients?
When a patient leaves without scheduling the treatment you presented, Case Closer runs a nine-week follow-up sequence by email, text message and voice message. Messages are handled securely, texts and voicemails never spell out a diagnosis, and a patient can stop texts at any time by replying STOP.
What is the membership plan in Club Creator?
An in-house plan for patients who have no dental insurance: an annual membership fee that includes an exam and an X-ray each year, plus a member discount on treatment. It is not insurance, and your practice sets the fee and the discount.
What does Payment Flexer do?
It lets you offer in-house monthly payment plans through Stripe, so cost stops being the reason a patient says no. Each plan is charged automatically every month, and the platform sends the receipts and failed-charge notices for you.
What does the Invisalign add-on do?
If your practice does Invisalign, case tracking is included free with any tool: every case tracked from first consult to final retainer, with a tracking report by stage.

Money and billing
What does it cost?
Nothing for the first hundred days — every tool, the Invisalign add-on and the full video library, with no credit card. After that, each tool is priced on its own, month to month, and there is a bundle for all seven that saves money. You will see the exact founding-member rate before you are ever asked to pay.
What is the founding-member rate?
A lower rate for practices that create their account while the offer is open. It is locked in on the day you create your free account, it is what you pay if you subscribe after the hundred days, and it stays yours even if you pause a tool and come back later. The window will close, and once it does, new accounts pay the standard rate.
What happens after day 100?
You choose. Subscribe to the tools that delivered, drop the ones that did not, or stop altogether. No card is on file during the free period, so nothing is charged unless you subscribe — and you keep read-only access to everything the tools recorded either way.
Can I cancel?
Any tool, at any time. There are no long-term contracts and no commitments beyond the current month.
What happens to my data if I leave?
It stays yours. If you stop, you keep read-only access to everything the tools recorded; if you want it deleted, ask and we delete it — the Data Deletion instructions in our Legal Center explain how.

Data, security and support
Is patient data handled under HIPAA? Do you sign a BAA?
We operate as a HIPAA business associate to your practice. The Business Associate Agreement is part of the terms you accept when you create your account — it applies automatically, with no separate signature — and it commits us to safeguards under the Security Rule and to notifying you of any breach within thirty days. Where is my data stored?
In the United States, on Amazon Web Services, encrypted in transit and at rest. The companies that process data on our behalf — and what each one handles — are listed in the Legal Center.
Do you sell or share patient information?
No. We do not sell information, we do not use your data to train AI models, and we run no analytics or advertising trackers on the patient membership portal.
