Supply Cost Calculator

What are expired stock and rush orders costing your practice each year?

Supplies leak money two ways at once. Overstock expires on the shelf and goes in the bin. Understock runs out mid-week and is rush-ordered at a premium, with expedited shipping on top. When nobody is tracking either, the supply line just grows — and with tariffs and inflation it has been growing fast.

This calculator estimates the cost of both from your supply spend, and shows what supplies take as a share of collections.

The numbers already filled in belong to an example practice — $1,150,000 in annual collections · $100,000 a year on supplies · 12% of it wasted · 8% of it paid as a premium on emergency orders. They are there so you can see the calculator work before you type anything; they are not benchmarks. Replace them with your own.

What fixes this

Stock Sentry, Step 8, is deliberately small: not an inventory system for two hundred items, but a watch on the ten to twenty that actually expire or run out on you — a buy point for each, a weekly count from your phone in the supply room, and a to-order list, about fifteen to twenty minutes a week.

How this is calculated

  • Estimated waste = annual supply spend × the share that expires or is thrown away.
  • Emergency-order premium = annual supply spend × the extra you pay on rush orders — rush pricing and expedited shipping — as a share of the year's supply spend.
  • Supply share of collections = annual supply spend ÷ annual collections.
  • Total = waste + premium. The calculator compares your share of collections to no benchmark — practices differ too much for one number.
  • Daily figures divide the annual figure by 365. The five-year line multiplies by five at today's numbers — no growth, no inflation, no change assumed.

This is arithmetic on the numbers you enter — an estimate, not a forecast, and not advice about your practice.

The other calculators: PPO write-offs · Out-of-network break-even · Treatment acceptance · Membership plan revenue · Patient attrition — or all of them.
