Step 1 of the 100 Day Profit Reset Protocol
Patient Pipeline
Turn the patients you already have into your main source of new ones.
The leak it stops
Your best new patients come from the patients you already have — the ones who would happily recommend you, if anyone ever asked. Almost nobody asks. So the referrals that should be your cheapest source of growth arrive by accident, and the practice with the most and best Google reviews wins the "dentist near me" search instead.
Patient Pipeline does the asking: it finds the patients who are delighted with you, at the moment they are delighted, and asks them for the two things that grow a practice — a referral and a review — then keeps asking, politely, every month.
What Patient Pipeline does
A two-question survey at checkout
How likely are you to refer us? How likely are you to leave a Google review? Sent by email and text while the patient is still at the desk — about ten seconds of the front desk's time.
Your promoters, found automatically
A patient who scores nine or ten gets the referral request straight away — with a ready-to-send message they can pass to friends, family and colleagues — and a review request that points at your Google review page.
The ask repeats itself
Promoters hear from you again on the fifth of every month for referrals and the twenty-first for reviews, with no one on your team remembering to do it.
Referrals land as prospects
A friend clicks the link, fills in a short signup form and appears in your referrals list. When they become a patient, one click converts them — and the patient who referred them gets a thank-you email.
Optional incentives, printed notices
A referral reward for existing patients and a new-patient promotion for their friends, both optional and subject to your state's rules — plus a printable referral notice for the front desk and waiting room.
A pulse on your reputation
Surveys sent against completed, referrals per month, referrals converted and their dollar impact, plus your Net Promoter and Net Reviewer scores on the dashboard — with the low scorers flagged, because a call to an unhappy patient is the most valuable call your office makes.
What running it looks like
Setting it up
Step 1 of the protocol — the first tool you set up, because it needs almost nothing: a referral reward and promotion if you want them, your Google review link, and the printed notice. Two short videos. Surveys can go out the same afternoon.
Day to day
At checkout, search the patient, assign the survey, send it — about ten seconds, inside a step the front desk already takes. Everything after that is automatic.
Worth knowing
Only four fields are needed per patient — first name, last name, email and mobile number — so the tool works without your practice-management system.
What it did in one practice
The first practice on Profit Smiles — the tool was proven there before it was offered to anyone else.

Questions about Patient Pipeline
Will my patients mind being surveyed?
It is two questions, sent while they are still with you, and it takes them a few seconds. Patients who are not delighted simply never hear the follow-up asks — only those who score nine or ten do.
Do I have to offer a reward?
No. The referral reward and the new-patient promotion are optional. If you use them, they must comply with your state's rules on patient incentives.
How does a referral reach me?
The referral request email gives your patient a message to pass on. The friend follows its link to a short signup form and appears in your referrals list as a prospect; you call them, and when they become a patient, one click converts them and thanks the referrer.
What about Google reviews?
Patients who score nine or ten on the review question get a request pointing at your Google review page, immediately and then monthly. You add your review link once, in setup.
Does it need my practice-management software?
No. It needs four fields per patient — first name, last name, email and mobile — entered or looked up at checkout.
